Position Overview
We are seeking a highly organized and proactive Secretary to support our architecture studio in New Cairo. The ideal candidate will play a crucial role in ensuring smooth office operations while providing administrative support to our team of architects and designers.
Key Responsibilities
- Administrative Support:Assist in daily administrative tasks, including scheduling meetings, managing calendars, and handling correspondence.
- Document Management:Prepare, organize, and maintain project files, contracts, and other relevant documents.
- Communication:Act as a liaison between clients, suppliers, and team members, ensuring clear and professional communication.
- Reception Duties:Greet visitors and clients, answer phone calls, and respond to inquiries in a courteous manner.
- Meeting Coordination:Arrange and coordinate meetings, including preparing agendas and taking minutes.
- Office Organization:Maintain an orderly office environment, ensuring supplies are stocked and equipment is functioning properly.
- Financial Tasks:Assist with basic bookkeeping, invoicing, and expense tracking.
Qualifications
- Education:High school diploma or equivalent; additional qualifications in office administration or related fields are a plus.
- Experience:Previous experience as a secretary or in an administrative role, preferably in the architecture or construction industry.
- Skills:
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- Ability to work independently and as part of a team.
